Mividas 4.1 Release — Smarter Scheduling, Stronger Security, and More Flexibility
We are pleased to announce the release of Mividas Core & Rooms v4.1, and Portal v2.11 – a significant update that makes meeting management more flexible, delegation easier, and integration with your existing infrastructure smoother than ever.
Here is what is new and why it matters.
Book Meetings on Behalf of Others
One of the most requested features is here: account delegation. Users can now grant colleagues the ability to schedule meetings on their behalf, directly from the Portal interface.
An executive assistant, team coordinator, or AV support staff member simply sends a delegation request. Once accepted, they can book and manage meetings for the other person using a “Schedule as” dropdown, no shared credentials, no admin involvement.
For organizations that need even broader support, a new White Glove scheduling option allows designated administrators to schedule meetings on behalf of any user in their department, ideal for service desk and operational support scenarios.
White Glove — Operational Support for Critical Meetings
Not every meeting can be left to self-service. High-profile board meetings, cross-organizational conferences, and sensitive sessions often require hands-on support from AV or IT staff.
With White Glove scheduling, administrators can schedule and manage meetings on behalf of any user, without needing a delegation request. Admins get a dedicated interface to search for users, find their meetings, and handle all scheduling tasks directly.
This is ideal for service desks, AV operations teams, and executive support functions where staff need to act quickly on behalf of others.
Combined with the user-driven delegation described above, Mividas now covers both scenarios: peer-to-peer delegation for everyday use, and admin-level White Glove support for operational and high-touch situations.
Webex Hybrid Meeting

For customers running both on-premise and Webex cloud environments, Mividas now supports a full range of meeting types:
- Webex only — Pure cloud meetings hosted on Webex
- Hybrid — Combined on-premise and Webex meetings
- Secure Webex — Cloud meetings with verified participant identity
- Secure Hybrid Webex — Hybrid meetings with verified participant identity
All meeting modes are available from one scheduling interface, including secure meetings that require identity verification before access is granted.
Enhanced Call Control

Managing live meetings just got a lot more powerful. Mividas 4.1 brings a full set of in-call controls for both Cisco Meeting Server and Pexip Infinity:
- Lock and unlock conferences — Prevent new participants from joining once a meeting is underway, ideal for sensitive discussions.
- Lobby management — Place participants in a waiting lobby and admit them individually, giving moderators full control over who enters the meeting and when.
- Move participants between conferences — Transfer a participant from one meeting to another without requiring them to hang up and redial.
- Participant importance — Set importance levels to control which participants are prioritized in the video layout, ensuring key speakers are always visible.
- Call history — View a full timeline of who joined and left a conference, providing real-time oversight and a record of participation.
- Presentation mode toggle — Start/stop presentations from Mividas call control.
Giving operators and moderators a consistent experience regardless of the underlying video platform.
Smarter Dialouts

Dialouts have received several practical improvements:
- Role selection — Choose whether a dialed-out participant joins as a moderator or guest.
- DTMF support — Automatically send touch-tone sequences after a dialout connects, useful for navigating phone menus or entering bridge PINs.
Flexible Meeting Room Configuration

With the new Meeting Type Templates, administrators can create distinct meeting types, each with its own settings for the underlying video platform, without duplicating infrastructure configuration.
For example, a “Board Meeting” type can enforce different security and layout settings than a “Team Standup” type, all managed from one place.
Richer Address Books

Mividas now supports importing contacts from more sources:
- LDAP directories — Sync contacts directly from your corporate directory
- CSV and Excel files — Upload files or point to an external URL for automatic import
- Other address books — Merge entries across multiple address books into one unified list
A new management interface makes it easy to configure sync sources, field mappings, and credentials without touching configuration files.
Stronger Authentication and API Security
Security has been tightened across the board:
- OAuth/OIDC for API integrations — Integrations can now authenticate using standard OAuth2 flows with scoped access tokens, replacing static API keys for modern deployments. (public beta)
- Beta support for scoped user permissions – Preparing for the next release – you are now able to try out scoped permissions for API-integrations and users – like read only support (only available in backend – buttons will still be visible in user interface)
- Security headers — HSTS, content-type protection are now enabled by default.
Room System Management Improvements

Mividas Rooms continues to evolve as a modern replacement for Cisco TMS:
- Import devices from CUCM — Bring existing Cisco Unified Communications Manager devices into Mividas Rooms.
- Bulk dial — Select multiple endpoints and dial them into a conference in one action.
- Enhanced reporting — Export detailed system data, status, configuration, and metadata, to screen or Excel with customizable report templates.
- Code editor for macros — Edit endpoint macros directly in the browser with full syntax highlighting, bracket matching, and code folding.
- Firmware-aware macro deployment — Macros can specify a minimum firmware version; the system automatically skips endpoints that do not meet the requirement.
- Faster status updates — Bulk offline detection is now significantly faster for large deployments.
Better User Experience
- Improved meeting invitations — Separate field for intro text in Portal, Jinja2 format, html tag trimming after copy+paste
- Custom timezone — Users can set their preferred timezone; all dates and times in the Portal adjust accordingly.
- LDAP participant search — Search your corporate directory directly when adding participants to a meeting.
- Improved mobile support — Improvements to smaller screens.
- Easier navigation — Jump quickly between meeting rooms, active calls, and scheduled meetings for the same virtual room.
- Webhook SMS — Send SMS notifications via a configurable webhook instead of a traditional SMS gateway.
Updated Outlook Add-in
The Outlook add-in has new configuration options to streamline the booking experience:
- Hide the title field — Use the Outlook calendar subject as the meeting title automatically.
- Auto-send moderator details — Moderator invitations are sent to the meeting owner without an extra step.
- Moderator toggle — A simplified checkbox for selecting moderators.
Note: Advanced dialog mode in the Outlook add-in is deprecated as of Portal v2.10.x and is no longer supported.
Under the Hood
For those who manage the platform:
- Framework upgrades — Updated libraries across the stack.
- OpenAPI 3.0 documentation — The API documentation has been upgraded to the OpenAPI 3.0 standard with improved schema generation and interactive documentation.
